These devices can be found in a variety of settings, such as educational institutions, corporate workplaces, healthcare facilities, and public spaces like libraries, shopping malls, etc., where these shared devices may be used to provide access to specific apps or services that are needed by multiple users. There are several advantages to organizations using Shared devices, such as Cost effectiveness, Improved Productivity, Easier maintenance, and Greater accessibility, to name a few. Leveraging Scalefusion's User Group Management and User Authenticated Enrollment features, IT Admins can prioritize user-based devices and utilize their AD integrations for better management instead of treating devices with mapped users. ## Before You Begin 1. Complete the [Android Enterprise setup](/docs/android-enterprise-android-for-work-setup-with-scalefusion-emm) on the Scalefusion dashboard. 2. The device(s) have to be enrolled using any one of the following methods- Six (6) times Tap method, afw#mobilock, IMEI/Serial Based enrollment, Zero-touch, and KME enrollment methods. 3. You should be subscribed to a Business or Enterprise plan. ## How it works In a nutshell, the following is an overview of the steps involved in configuring an Android device as a shared device: 1. [Add users to User Management](/v1/docs/shared-company-owned-devices#step-1-adding-users-to-user-management) 2. [Create User Group(s)](/v1/docs/shared-company-owned-devices#step-2-creating-user-groups) 3. [Configure Settings for Shared Devices](/v1/docs/shared-company-owned-devices#step-3-configure-settings-for-shared-companyowned-devices) 4. [Create QR Code Configuration](/v1/docs/shared-company-owned-devices#step-4-creating-a-qr-code-configuration) 5. [Enroll the devices](/v1/docs/shared-company-owned-devices#step-5-enrolling-the-devices) 6. [Dashboard view of Shared Devices](/v1/docs/shared-company-owned-devices#dashboard-view-of-shared-devices) These are explained in detail below. ## Step 1: Adding users to User Management 1. Navigate to **Enrollment Configurations > User Enrollment**. 2. You can either use the [**Add a User**](/docs/scalefusion-user-management) button to add the users or upload a list of users in the form of a CSV file. 3. In case the account is a [**G Suite**](/docs/migration-to-gsuite-based-dashboard-sign-in) or [**O365 account**](/docs/migration-to-azure-ad-office-365-based-dashboard-sign-in), you can import the users from the respective G Suite/O365 consoles. 1. Refer to the [Import Users and User Group](/docs/scalefusion-user-management) guide to know more about importing G Suite/O365 users. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image%20-%202023-09-18T132053.521.png) 4. Once the user details are added, the user or the list of users will now show on the dashboard. 5. **Unlike** [**BYOD enrollment**](/docs/managing-employee-owned-byod-devices), you will not need to send an invite to these users. 6. The next step will be to create a **QR Code Configuration** to set up the **User Authenticated Enrollment** mode. You can also use AAD, PingOne, Okta, and Google Workspace for the authentication of users. ## Step 2: Creating User Group(s) 1. Navigate to **Groups > User Groups** and click on the **Create New Group** button. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/pqmsul-kdkvi-dbxdd-2-gspkq-8-bsy-0-usj-5-eqez-9-v-uaox-0-oxzdzoz-cf-fkmq-beujc-oo-rffxh-m-2-lv-1-c-acv-1-mz-g-5-y-2-q-xc-wck-fae-pjt-9-qm-vazpa-1-kdlqh-nv-4-zk-7-t-2-af-tkzlpf-3-o-gib-0-qoxbd-1-x-co-8-rdw-m.png) 2. This will open the group creation wizard and select the Users who will be sharing the devices in this User Group from the list of users that have already been added or imported as per **Step 1**. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/wly-ua-m-bsa-x-tp-ii-8-we-qx-e-1-qze-0-zfegug-vqivw-kll-wieeb-wkcy-wfka-ozj-xr-4-vbvnsmx-lmzw-49-f-mo-rnw-ssvfad-sejy-uuf-6-yli-7-p-sor-aq-o-5-tlxl-3-f-bxns-9-n-qxui-6-ynf-rx-l-wixpcb-qj-tjd-fithn-ub-fr-tma.png) 3. Once users are selected, choose a **Device Profile** in the **Company Owned** tab on the next screen. The **Company Owned** tab is important as this will distinguish company-owned devices from BYOD devices and help you to seamlessly enroll Shared devices. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/ipo-lrf-1-vef-of-il-7-igj-z-5-pur-n-6-iim-sfwpvui-0-ruk-xku-8-fpaj-tq-ln-4-d-cbu-10-ji-dt-on-e-1-cq-fw-tz-fbe-pqr-ne-fu-6-dkw-fw-1-dpt-7-qg-1-k-sa-k-7-sn-2-xu-wet-8-e-5-dy-oe-5-htv-pf-8-zzf-zox-pdyx-v-psw-e.png) 4. In case you plan to enroll the devices and not authenticate the user yet so that you can ship the devices to users who will, in turn, enter their email IDs and OTP to authenticate at a later stage; you can use the option **Sign in as Admin** at the time of enrolling the devices. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/z-9-tz-rcit-2-s-8-xn-6-svl-5-qp-59-yb-svo-9-g-worl-ih-2-a-76-g-1-uf-es-qm-55-ynu-lap-7-i-0-bfz-wsy-5-hep-dar-ytwbez-jl-rlyr-c-9-knc-6-seeqg-vhf-jlbn-ljh-z-1-tq-lmxmsb-3-zv-ox-vj-1-et-9-rwx-8-n-716-d-1-m-1-d.png) 1. Once you tap on the **Sign in as Admin** option, you will be asked to enter the exit passcode as set in the Device Profile. 2. On adding the exit passcode, the device will enroll without the Authentication for the time being, and the next time the device is rebooted, the users will again see the Authentication page and will be asked to enter their email address and OTP. 5. If you prefer to authenticate the user, they will enter the user's email address and **agree** to the **Organization’s Terms and Conditions**. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/3-ncll-puq-ofbe-5-i-twve-fj-4-w-dlwg-6-sa-0-cp-rthk-50-mi-oh-ag-lmaiby-sxzm-qam-9-yu-wwpl-bt-qmi-10-l-qh-ft-enz-wmemaycv-di-kk-lr-yq-bd-4-b-xnduz-n-ev-7-x-87-j-o-45-hh-oeet-s-22-g-ygq-qfxb-9-anfahf-ben-co-g.png) 6. On the next screen, IT Admins will have to enter an **OTP** that is sent to the email address entered before. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/cwv-szn-4-ht-zs-vzxt-7-n-n-9-atc-ngt-7-ly-ln-ph-sdd-ge-9-q-lwdeup-7-b-7-ipd-bot-twr-casr-qya-xxlo-4-c-tz-mk-4-tip-8-odu-mtor-88-t-w-7-op-nlcmmeap-2-imh-54398-ctmbhs-8-i-vy-5-rwh-wvtu-58-khwm-3-ca-sa-h-3-xw-.png) 7. Once OTP is verified, the enrollment process will be completed. 8. On the device, users will see an additional option to **Sign Out** (in the 3-dots menu), which indicates that the device is a Shared device, and different users added to the concerned User group will be able to sign in and use the device. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-1723030481929.png) 9. Once a user is done using the device, they can use this **SignOut** option to log out of the device, and another user can Sign in. The next user will again see the screen where they will have to enter their email address and OTP, just like the User Authenticated Enrollment process shown in the above steps. ## Dashboard View of Shared Devices 1. On the dashboard, under **User Groups > Users**, you will be able to see the details of which user has logged into which device and at what date and time. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-1723030683389.png) 2. Navigate to the **Devices** section and click on **View Details** for the concerned device(s). ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-1723030818131.png) 2. Click on the **Gear icon** and scroll down to the **Assign User** option. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-1723030887699.png) 3. Select the user in the new window and click on **Save**. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image%20-%202023-09-18T134428.796.png) 4. You will be able to see the device in the **User Group** section under the users created for the Shared Devices. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-1723030964961.png) 5. As soon as you Assign the User to a device, on the device, the end user will see the screen where they will have to enter the email ID and the OTP to authenticate, just like the User Authenticated Enrollment process as shown in **Step 5**. 6. Once the end user authenticates the email ID, the device will become a Shared device, and the users that are part of the User Group will be able to use the device. ## Allow Offline Sign-in on Shared Devices Connectivity issues shouldn't bring your workforce to a halt. With the "Allow Offline Sign-in" feature, employees can set a secure device PIN to log into shared company devices even without an active internet connection. This ensures uninterrupted productivity and seamless shift transitions, regardless of network availability. To allow users to set an offline PIN, make sure that you have enabled the relevant settings on the Scalefusion dashboard. To do so: 1. Navigate to **Groups** > **User Groups** > click the 3-dots on top right-hand corner and click **Settings**. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-GOKX868K.png) 2. In the **Shared Devices** tab, **toggle on** the “**Allow Users to sign-in on the device when offline**” option and click **Save**. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-HRR9TN55.png) ### On the Device 1. When the user is signing in for the first time during the device enrollment or after the device enrollment. After the successful validation of the user (that is user enters their email ID and the OTP) they will be shown a new screen where they can generate a PIN between 4 to 6 digits, for offline login. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-PWWW8ASC.png) 2. Next time, when the user is signing in and the device is offline, they can enter their Offline access PIN and log in to the device. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-HB6M5TZM.png) 3. Users can reset their PIN via the three-dots menu on the device (requires entering the current PIN). This process works seamlessly whether the device is online or offline. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-KY86834J.png) ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-CJYZC9VA.png) 4. If the same user signs out and signs back in while the device is online, they will follow the standard sign-in process by entering their email address and the OTP sent to their email. After successful authentication, they will have the option to update their offline Sign-In PIN or skip this step and continue. ![](https://cdn.document360.io/175c0eac-012f-4410-bdc5-ac60794f82d8/Images/Documentation/image-T6U4L5G7.png) > [!NOTE] > Note: > > Offline sign-in events are included in the **User Activity Repor**t once the device reconnects to the internet and synchronizes with the Scalefusion server. ### Known Behaviors 1. When the Allow users to sign in from multiple devices setting is enabled, users who have generated an offline PIN on multiple devices can sign in offline on each of those devices. The offline PIN is device-specific and can only be used on the device where it was generated. 2. When the Allow users to sign in from multiple devices setting is disabled, the same behavior applies for offline access. If a user has already generated an offline PIN on multiple devices, they can continue to sign in offline on each of those devices using the device-specific offline PIN generated for that device. > [!NOTE] > Things to keep in mind: > > 1. When the Allow users from different groups to sign in on the same device setting is disabled, users can continue to use their previously generated offline Sign-In PIN while the device is offline. Once the device reconnects to the internet, it automatically validates the latest user access policies and updates offline sign-in permissions accordingly. > 2. When the Allow users from different groups to sign in on the same device setting is enabled, users who have generated an offline Sign-In PIN can continue to access the device in offline mode using their offline PIN. > 3. If either Allow users from different groups to sign in on the same device is enabled or Allow users to sign in on the device when offline is disabled, changes to offline sign-in permissions are not applied until the device reconnects to the internet and synchronizes with the latest policy. > 4. If a user is removed from a group or moved to a different group while the device is offline, they may continue to use their previously generated offline Sign-In PIN until the device reconnects to the internet. Once the device comes online, it synchronizes with the latest user access policies and updates offline sign-in permissions. Users who are no longer authorized will no longer be able to access the device using their offline Sign-In PIN. ## Reporting When there are company-owned devices shared among multiple users, it's crucial to have a reporting system in place. This allows you to monitor user activities on these devices and ensure everything is running smoothly. So, reporting is essential to keep track of what's happening on these devices and address any issues that may arise. ### Devices Section 1.
